GDPR/privacy policy

This privacy policy is intended to provide information on how and why Konglungen Tennis Club collects and processes your personal data. This privacy policy is aimed at members, including minor members’ guardians and volunteers (including shop stewards, trainers and other volunteers). The club, through the chairman, is responsible for processing information that is collected and processed by the sports team.

The privacy policy that follows contains information you are entitled to when personal data is collected through the sports team, and general information about how we process your personal data.

Your personal data is processed in accordance with the privacy regulations in force at all times.

1. Our use of personal data

The sports team collects and processes personal data to administer the sport. Our duties towards members and volunteers are to fulfill the requirements set for us as the person responsible for processing personal data. Personal data we process is mainly obtained from the data subject himself.

Processing of personal data is done in connection with registration in the club and registration for courses and other activities, for example tournaments and in connection with invoicing and booking courts.


2. Disclosure of personal data – transfer of personal data to third parties

Your personal data is treated confidentially and only those in the club who have a legitimate need to process the personal data will have access to it. As a general rule, your personal data will not be shared with anyone outside the club.

Personal data may be made available to third parties who help us run the sports team, for example the technical operation of our IT and accounting systems. When third parties are given access to personal data in this way, data processing agreements are entered into so that we ensure that the third parties comply with our requirements for processing personal data and applicable legislation.

The club does not sell personal data to a third party, nor do we pass on this information. Outsiders can only access this information if they are to carry out specific services for us. The club is responsible for personal data as described above.

Other professional systems we use, and where your personal data is stored: Matchi, eAccounting.

We use an open page on Facebook to communicate with our members.

You can always feel safe when you provide us with your personal information.


3. What personal data do we process?

We only process personal data that is necessary to manage membership or volunteering in the club

Information we register is: Name, date of birth, telephone number, email address, postal address, gender, family connections, whether a police certificate has been presented (applies to trainers), whether membership/training fees have been paid, and connection to competition and activity. In connection with events where food is served, we may collect information about allergies and food preferences.

Registration of this information is a prerequisite for participation in activities and for membership.


4. Basis for the processing

The legal basis for the processing of personal data in the club is primarily the membership agreement, but we also collect your consent for some of our processing, for example when using images on Facebook or our website. LTK practices verbal consent when using images.


5. Storage of the personal data and deletion

The club deletes your personal data without undue delay when it is no longer necessary for the purpose for which it was collected.


6. Your rights as a registered user

As registered, you have several rights related to our processing of your personal data. Here you get information about what these are and how you can exercise these rights vis-à-vis the club in connection with the processing of your personal data.

Access: you can send us a request for access to our processing of your personal data.

Correction: if you believe that the information we have stored about you is not correct (e.g. e-mail address or position) you can request that we correct this at any time.

Object: if you do not want us to process your personal data, you can object to the processing.

Deletion: if you object to the processing of your personal data, information that we have stored about you will be deleted on the condition that we have no other basis for keeping it.

Right to complain to a supervisory authority: If you believe that our processing of your personal data should be in breach of the privacy regulations, or the privacy regulations in general, you have the right to complain about this to the Norwegian Data Protection Authority.


7. Changes to our privacy policy

We may change the privacy policy from time to time at our discretion. When we change the statement, we will change the revision date at the top of this page, and a modified privacy statement will be effective from that date.
